In short

How Scaling Labs works - in short

Scaling Labs runs sales prospecting (outbound) campaigns for B2B companies - from mapping your market to the first conversation with a decision-maker.

  1. 1Map the market - every company that could buy your offer.
  2. 2Identify companies showing buying intent - a new decision-maker in the role (last 3 months), open job ads, new funding, a new office, international expansion, a new product, engagement with competitors' LinkedIn posts or follows of their company page.
  3. 3Identify decision-makers - the people who make the buying decision at each company.
  4. 4Find contact details - verified email, phone and LinkedIn profile, with deep scraping of every available online source.
  5. 5Reach out - by email, LinkedIn and phone, timed to those signals.
  6. Pay for results - anyone can write the steps above, so we bill on results - pay-per-lead for a lead confirmed by your sales team, or pay-per-meeting for a meeting that took place.

What we don't do - paid ads, lead forms, Google Ads, SEO or websites. We focus on outbound prospecting only, and the same process sits behind every service we offer, from cold email to appointment setting.

Lead definition

Qualified lead - when a lead counts

A qualified lead is a decision-maker from a company that matches your customer profile, who showed interest in learning about your offer or booking a call, and whom your sales team confirmed as genuinely interested and responsive. It counts toward the contract target and billing only after that confirmation.

We agree with you on the profile of the companies we reach during the first call and write it into the contract together with the lead definition. We do not count people outside the agreed profile or leads your team does not confirm.

A booked meeting is, as a rule, a meeting that took place with a decision-maker from a company that meets the criteria in the contract.

  • The person decides

Makes the buying decision or has a say in it.

  • The company fits the profile

Falls within the ideal customer profile (ICP) you approved before launch.

  • There is real interest

The company has a problem your offer solves and wants to talk about it. Curiosity alone is not enough.

Lead stages in a campaign

How we define, qualify and hand over leads in a full outbound campaign is described on our B2B lead generation page.

Process

Step by step - from the market map to the first leads. First messages after 2-3 weeks.

The first two phases are preparation on our side, the next ones are outreach to your future customers. For each phase we list what we need from you.

01 - StartDays 1-3

We map the market and study your offer.

  • Customer profile - we agree on your ideal customer profile (ICP) and the lead definition, which goes into the contract.
  • Market - we count the companies and decision-makers that match the profile. If the market is too small for a campaign, we say so right away.
  • From you - a kick-off call, materials about your offer and a list of current customers to exclude.
02 - PreparationWeeks 1-2

We build the list, warm up the mailboxes and write the copy.

  • List - we combine many data sources to map the entire market and verify every address before sending.
  • Infrastructure - separate sending domains, at most 3 mailboxes per domain, 2-3 weeks of warm-up. Your main domain is never used for sending.
  • Copy - messages for each segment and role, each in at least 4 variants and with a full signature.
  • From you - approval of the company list and the copy before anything goes out in your name.
03 - First contactsFrom week 2-3

We start outreach and test.

  • Tests - at least 5 different copy tests per segment at the start of the campaign.
  • Channels - email, LinkedIn from the profiles of people at your company, and phone where it helps.
  • Leads in your CRM - with a note on who the person is and what they are looking for.
04 - ScalingMonths 2-3

More of what wins.

  • Winning tests - get more volume, weaker ones are switched off.
  • Next segments - what works moves on to further industries, roles and markets.
  • From you - you confirm leads, run the conversations and review the results with us every week.
Lead handover

How a lead lands in your CRM

We catch every positive reply in real time. Our AI agent assesses whether a reply is positive, and we pass the lead to you right away - by email or Slack, to a shared Google Sheet or, if you need it, straight into your CRM, such as HubSpot or Pipedrive, or any other database you choose.

With each lead you get the full picture - name, role, phone and email, the whole message thread with dates, a link to the company website, a link to the LinkedIn profile and the company size where available.

In outbound, speed to lead matters a lot. This way your sales team can follow up with the lead right away.

  1. 1Reply - our AI agent catches the positive reply in real time, and we check whether the person meets the lead definition in the contract.
  2. 2Handover - the lead goes to you right away - by email, Slack, a spreadsheet or your CRM.
  3. 3Your call - your sales team confirms or rejects the lead.
  4. Result - a confirmed lead counts toward the contract target, and with pay-per-lead billing it goes on the invoice.

  • Replies

How many people replied and the reply rate.

  • Interested

How many replies show interest in your offer.

  • Deliverability

The bounce rate, meaning how many messages came back undelivered.

Billing

How we bill - pay-per-lead or a retainer with the number of leads in the contract

On a retainer we agree with you on a specific number of leads and write it into the contract. You can count on us to deliver it, or we keep working until we do.

With pay-per-lead or pay-per-meeting billing there is no lead number in the contract - you pay for each confirmed lead or each meeting held. Our only requirement is that your team is ready to take on at least 10 leads a month.

The first contract runs for 3 months, then continues with one month's notice.

Rules

Our rules for contacting companies

Emails, messages and calls to companies fall under GDPR and each country's rules on electronic communication. Approaches differ across markets and each one carries some risk, so our outreach process is reviewed with a law firm. We handle the GDPR transparency obligations for the data we use and keep our copy in line with local rules.

  • Process reviewed with a law firm

Covers emails, LinkedIn messages and calls.

  • Business matters only

We write to business addresses, about matters related to the recipient's work.

  • A break after each sequence

After a finished sequence we wait 45-60 days before the next message.

  • Exclusion list

People who unsubscribe or decline go on our exclusion list. We make sure they get no further messages from us, in any campaign. Every message includes a simple way to opt out.

Case studies

Our process in practice - client results

We have run the same process across different markets and industries. The numbers come from published case studies.
