Is this service for you

B2B appointment setting - when it pays off and when it is a waste of budget

B2B appointment setting means proactively making first contact with decision-makers at companies that could buy your product or service, with the goal of booking a meeting. One person replies to an email, another on LinkedIn, a third only picks up the phone, so we combine all three channels in one campaign. We do not sell on your behalf - your sales rep presents the offer at the meeting.

Working with an appointment setting agency does not pay off for every company. Because we bill on results, on the first call we tell you upfront whether appointment setting can deliver a return for your company. It depends on four things.

Appointment setting with Scaling Labs in short
Outcome
meetings with interested decision-makers in your sales rep's calendar
Scale
over 120,000 messages a month across 11 markets, plus LinkedIn and phone
Start
first messages and calls about 2-3 weeks after signing
Billing
pay-per-meeting - booked meetings you confirm
It pays off when
  • you have a proven offer with demand in the market and want to add a sales channel and scale up
  • a customer is worth a lot over time (high LTV)
  • you have a sales process and sales reps who will run the booked meetings
  • you want to add meetings to your sales reps' calendars fast
It is a waste of budget when
  • you are a micro business or a startup still testing whether the market wants your product or service (no product-market fit)
  • a customer's orders are worth less than €2,000 a year
  • you have no sales process and no sales reps to run the meetings
  • your sales reps have no room in their calendars for new meetings

How we handle your email

What you get

B2B appointment setting - what lands with your sales rep

We run the campaign from building the list and the infrastructure to reaching decision-makers and agreeing on a time. You receive meetings your team runs.

  • Sending infrastructure

We buy separate domains and mailboxes for the campaign. This keeps deliverability high, protects your main domain and lets us work at scale.

  • A list of every company that can buy from you

We collect data on headcount, revenue, markets, products, services and offices. Then the decision-makers and their contact details - name, LinkedIn profile, email and mobile number. Every address is verified before sending. The list is built for each campaign and never reused between clients.

  • The whole campaign design

We design the sequence - when outreach starts by email, when we message on LinkedIn and when we call. Every reply, whatever the channel, is taken to an agreed time with your sales rep.

  • Copy and A/B tests you approve

At launch we run at least five copy tests per segment and scale the best performers. You also approve the call script before launch.

  • Market signals

We track signals such as new offices, new products, changes in decision-making roles, open job ads, LinkedIn activity, Google News and more. That way we reach companies that show a need for change.

  • Copy in local languages

We write natively in the language of each market. If you have local reps there, a message in the recipient's language gets more replies in our campaigns than one in English. In selected markets calls are also made in the local language, which opens up international campaigns.

  • Meetings in your sales rep's calendar

A time agreed with the decision-maker within the hours your sales rep sets, with a note - who the person is, what they are looking for and when they plan to decide. Your sales rep runs the meeting.

  • Weekly report

Messages sent, calls, replies, booked meetings and what your prospects say. Once a week we go through the results with you.

Meeting definition

What we count as a booked meeting

You pay for meetings that match the definition we agree on before the first message goes out. As a rule, that is a meeting held with a decision-maker from a qualified company, and it counts when it meets four conditions.

  • You talk to a decision-maker

Makes the buying decision or has a say in it.

  • The company fits the profile

Matches the customer profile you approved before launch.

  • There is a need

The person has a problem your offer solves and wants to talk about it.

  • The meeting took place

The call with the decision-maker happened at the time agreed with them and with your sales rep.

Phone

Appointment setting by phone - when we call and who makes the calls

Phone complements email and LinkedIn. Most often we call to agree on a time with someone who replied to a message. We call decision-makers' mobile numbers directly, which gets past gatekeepers and switchboards.

  • When we call

When a prospect replied to an email or a LinkedIn message and we need to agree on a time. Also when we got no reply to an email or a LinkedIn message.

  • Who calls

A person who learns your offer before launch and follows a call script you approve.

  • Every call ends with a time

Booking meetings by phone has one goal - a time that suits the prospect and your sales rep. Your sales rep presents the offer at the meeting.

How we work

From the company list to a slot in your calendar. First contacts after 2-3 weeks.

For the first 2-3 weeks we prepare the campaign on our side. Then we start outreach and book the first meetings. From you we need one call, materials about your offer, a list of companies to exclude and the hours when your sales reps can take meetings.

01 - StartDays 1-3

We agree on the customer profile and the meeting definition.

  • Customer profile - the companies and roles you want to meet with.
  • Meeting definition - the criteria we count meetings against, written down before the first message.
  • Infrastructure - separate domains and mailboxes, bought and set up on our side.
  • From you - a kick-off call, materials about your offer and a list of companies to exclude.
02 - PreparationWeeks 1-2

We build the list, warm up the mailboxes and write the script.

  • List - companies and decision-makers, every address verified before sending.
  • Warm-up - new mailboxes are warmed up before they send the first campaign.
  • Copy and script - email and LinkedIn messages plus the call script.
  • From you - approval of the company list, the copy and the script.
03 - OutreachFrom week 2-3

We email, reach out on LinkedIn and call.

  • Three channels - every reply is taken to an agreed time.
  • Meetings in your calendar - with a note on the person in your CRM or a spreadsheet.
  • Weekly report - how many people replied, how many meetings are in the calendar and what prospects say.
04 - ScalingMonths 2-3

More of what wins.

  • Weekly review - we refine the company list, the copy and the call script.
  • Next segments - what works moves on to further industries and markets.
  • From you - you run the meetings and confirm which ones count.

Law

Outreach to companies and the law - the rules we follow

Emails, messages and calls to companies fall under GDPR, the EU data protection regulation, and under each country's rules on electronic communication. In practice there are several approaches to consent for this kind of outreach. Each carries some risk, and there is no single clear position from regulators.

  • Process reviewed with a law firm

It covers all three channels - email, LinkedIn messages and calls, from the first contact to handling refusals and objections.

  • Lists and GDPR

When we build and process lists, we take care to meet the GDPR information obligation.

  • Copy and local rules

We prepare messages and call scripts with care for each country's rules on electronic communication.

  • Respectful outreach

No pushy contact - after a finished sequence every person gets a 45-60 day break before the next message. People who unsubscribe or decline go on our exclusion list and will not get a message or a call from us in the future.

Pricing

How much does B2B appointment setting cost?

Price depends on the selected channels and the number of companies we reach. On a retainer, the number of leads goes into the contract.

Pay-per-lead

No monthly retainer. You pay only for the leads you confirm, or for meetings that land in your calendar.

  • Every lead is confirmed by your sales team
  • Or pay-per-meeting, for booked meetings only
Retainer with leads in the contract

A fixed monthly fee with the number of leads written into the contract. If we fall short, we keep working until we deliver it, at no extra cost.

  • Number of leads written into the contract
  • We work until it is delivered
What the price depends on
